    Plan, manage and administer the US payroll system to ensure an effective and efficient payroll department. Partner with human resources to provide guidance and direction regarding transactional payroll activities.  Develop, implement and maintain processes/policies related to payroll data requirements, which are legislatively compliant.    Develop and generate reports on a regular and ad-hoc basis.  Assist in the development and implementation of strategies for effective outsourcing arrangements and provides on-going vendor management for Payroll system and transactional activities.  Assist with the preparation of journal entries, reconciliations and management reports in a timely manner.

    Responsibilities

    Payroll Processing

    Responsible for maintaining and updating all payroll information in the payroll system. Coordinate various activities with outside payroll vendor related to the processing of biweekly payroll for all US locations including:

    • Receive, audit and verify payroll information
    • Accurate input into the payroll system
    • Verification and audit of exception pay, taxable benefits and voluntary deduction items
    • Set up, process and remit involuntary deductions
    • Resolve payroll discrepancies promptly and accurately
    • Process manual checks, off-cycle payroll runs
    • Ensure company policy is followed with regards to proper signature authority, timecard approval and sick and vacation policy.
    • Coordinate with equity administrator the earnings related to equity instruments and process through payroll accordingly

     

    Payroll Management

    • Research and co-ordinate tax inquiries, W-2's, etc.
    • Comply with Federal, State and Local legal requirements by studying existing and new legislation; enforcing adherence to requirements; advising the Controller on any required actions.
    • Maintain employee confidence and protects payroll operations by keeping information confidential.
    • Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; and participating in professional societies.
    • Ensures payroll and W-2 deadlines are met
    • Manage, train and mentor payroll staff.
    • Assist with the preparation of monthly journal entries for the Accounting Department.
    • Prepares management reports including head count and vacation and sick accrual.
    • Sets up and coordinates with payroll services new tax law changes effecting payroll, timecard and payroll processing schedules and special payrolls as needed.

    Other Responsibilities

    • Assists the Accounting Department with various cash functions and reconciliations.
    • Design, implement and maintain metrics, reporting and audit procedures to ensure Sarbanes-Oxley (SOX) compliance for payroll related activities. Lead projects and initiatives related to establishing and improving transactional process and activities to improve payroll work flows.
    • Develop and implement procedures to ensure retention and protection of employee information.
    • Produce and maintain monthly/quarterly and ad hoc management reports and statistics. Analyze raw data and convert it into user-friendly management reports as required. Assist in the development and design of new and/or customized reports.
    • Partner with US Sales Operations to co-ordinate timely payout of sales incentive plan payments. Ensure timely and accurate payout of annual incentive plan bonuses to US based employees and Executives.
    • Support internal and external audits including external financial audits, 401k audits, and internal audits.

    Qualifications

    • Bachelors Degree in Accounting, Finance or related field.
    • Certified Payroll Professional certification preferred.
    • Minimum of 10 years in-depth, hands on payroll experience in a mid-size corporation.
    • Preparing payroll for 5000+ employees (including exempt, non-exempt and Executives) in a fast paced environment.
    • Experience with the ADP Workforce Now, ADP eTime, Microsoft Excel and Word.
    • Thorough understanding of federal and state government regulations relating to payroll, FLSA, ERISA, company policies and operations.
    • Subject matter expert in payroll best practices.  
    • Experienced in the design and operation of payroll systems.
    • Mathematical aptitude, analysis/critical thinking and problem solving skills with high attention to detail, accuracy, and data confidentiality are required.
    • Articulate; excellent communication skills (written, verbal and public speaking).
    • Must have customer oriented attitude.
    • Ability to work effectively under pressure.
    • Ability to perform with minimum supervision, prioritize effectively and perform proactively.
    • Excellent interpersonal skills and judgment, with a demonstrated ability to deal with sensitive or confidential matters with discretion and tact.
    • Strong computer skills and extensive working knowledge of all Microsoft Office applications and well-developed internet research skills.
    • Ability to work both independently and as part of a team.
    • Establish and maintain effective working relationships across multiple functions and external partners.
